NDIS invoice checker

Check an invoice before you send it. Each line is checked against the NDIS price list for the day the support was delivered, the way George checks its own invoices.

Updated . Checked against the sources at the end of the page.

Check an invoice

It runs on your phone or computer: nothing you type is sent anywhere or kept, and it asks for no names or NDIS numbers.

Fill in a line to check it.

  1. Line 1

What it checks

For each line, against the price list for the day it was delivered (2025-26 and 2026-27 are loaded):

  • The item number is on that day's list. Numbers are added and retired each July.
  • The price is at or under the limit for that support, in most of Australia, a remote or a very remote area.
  • The item is right for the shift's time band: weekday, evening, night, Saturday, Sunday or a public holiday in your state, and a shift that runs into a dearer band bills all of it at the higher rate. If it isn't, it names the item to use.
  • Kilometres are at or under the rate for that day, and parking or tolls are claimed the right way.
  • The line isn't dated in the future, isn't $0, and is inside the NDIA's claim time limits.

It holds the lists from 1 July 2025 to 30 June 2027, so it can't check a line from before 1 July 2025.

What it can't check

It knows nothing about you or the participant, so a plan manager will still look for these, and how to invoice the NDIS goes through each one:

  • Your ABN and business name, and where to pay you.
  • The participant's name and NDIS number.
  • A service agreement that covers the support, any travel and cancellations.
  • Funding left in the participant's plan for it.

Common questions

Why was my NDIS invoice rejected?

The usual reasons: a price over the limit for the day the support was delivered, the wrong item for the time band (a Saturday shift on the weekday item, or an evening that ran past midnight billed as an evening), an item number from the wrong year after 1 July, missing details like the participant's NDIS number or the dates, or a claim made too late.

The checker above catches the first three and the claim time limits. The rest is in how to invoice the NDIS.

Does the price follow the day I worked or the day I send the invoice?

The day you worked. A shift delivered in June is billed at that year's price, and sometimes that year's item number, even when the invoice goes out in July. The checker uses the list for each line's own date.

Which item do I use for a shift that runs past 8pm or midnight?

The whole shift bills at the dearest band it touches: 7pm to 9pm on a weekday is an evening shift, an evening shift that runs past midnight is a night shift, and Friday night into Saturday is a Saturday shift. Add the start and finish and the checker names the item to use. More in the time bands guide.

Is anything I type sent or saved?

No. The checks run on your phone or computer, nothing you type is sent anywhere, and nothing is kept: close the page and it's gone. It doesn't ask for anyone's name or NDIS number.

Does it work for self-managed participants?

Yes. Choose “The participant (self-managed)” under who pays: price limits don't apply then, and the price is the one in your service agreement. The time bands and the claim time limits still do.
